Ahmco supplies heating, plumbing and bathroom products from our Harpenden trade counter and showroom, and provides design and supply services for bathrooms, kitchens and wet rooms. This policy explains what personal information we collect, why we collect it, who we share it with, and the rights you have over it. It should be read alongside our Cookie Policy.

Who we are

Ahmco is the data controller responsible for your personal information. That means we decide how and why your data is used, and we are accountable for looking after it.

Information we collect

We collect information in two ways: what you give us directly, and what is collected automatically as you use this website.

What you give us

  • Your name, email address and telephone number when you request a quote, book a showroom visit or get in touch
  • Project details such as room type, products of interest, budget range and timescales
  • Your address, once a survey or delivery is arranged
  • Trade account details, where you hold an account with us
  • Photographs, plans or measurements you choose to send us
  • Payment and invoicing information for orders
  • Records of calls, emails and messages between us

What we collect automatically

  • Technical data such as IP address, browser, device type and operating system
  • Usage data such as pages viewed, time on site, and how you arrived here
  • Approximate location, inferred from your IP address
  • Cookie data, as set out in our Cookie Policy

We do not knowingly collect special category data such as health information through this site. Please don’t include sensitive details in an enquiry unless they are genuinely relevant — for example, accessibility requirements for a mobility bathroom, which we will only use to advise on suitable products.

How we use your information

  • To answer your enquiry and prepare a quotation
  • To arrange showroom visits, home surveys and CAD design work
  • To process, supply and deliver orders, and to handle returns or warranty claims
  • To manage trade accounts and credit arrangements
  • To arrange installation where you ask us to
  • To send you marketing about our products and services, where you have agreed to receive it
  • To understand how visitors use this website so we can improve it
  • To keep our systems and premises secure and to prevent fraud
  • To meet our legal, accounting and tax obligations

We do not sell your personal data to anyone.

Our legal basis for processing

UK data protection law requires us to have a valid reason, or “legal basis”, for each way we use your information:

  • Contract — to quote for, supply and deliver the products and services you have asked for, and to provide aftercare.
  • Legitimate interests — to respond to enquiries, run and improve our business, manage trade accounts, and keep our systems secure. We balance this against your right to privacy.
  • Consent — for marketing communications and non-essential cookies. You can withdraw consent at any time.
  • Legal obligation — to meet accounting, tax, product safety and other regulatory requirements.

Who we share your information with

We share your information only where it is needed, and only with organisations that are required to keep it secure:

Who What they receive Why
Product suppliers and manufacturers Delivery address and order details To fulfil orders shipped direct, and to process warranty claims
Delivery and courier companies Name, address and contact number To deliver your order and arrange a delivery slot
East & Gray, our sister company Address and job details To carry out installation work, where you have asked for it
Installers and tradespeople we instruct Address and job details To complete agreed works
HubSpot Name, email, phone, enquiry and booking details Runs our quote form and showroom booking calendar
Google and Microsoft Usage and technical data Website analytics, and advertising measurement where you have consented
Payment providers Payment details and order value To take and reconcile payments securely
Our accountant and professional advisers Invoicing and payment records Bookkeeping, tax and legal compliance

We may also share information where the law requires it, to establish or defend our legal rights, or in connection with a sale or reorganisation of the business.

How long we keep your information

  • Enquiries that don’t proceed — kept for up to [24 MONTHS], then deleted, unless you ask us to remove it sooner.
  • Customer and order records — kept for [7 YEARS] after the last transaction, covering accounting, tax and warranty periods.
  • Trade account records — kept for the life of the account and [7 YEARS] afterwards.
  • Marketing consent — kept until you unsubscribe or we ask you to reconfirm.
  • Website analytics — retained for the periods set out in our Cookie Policy.

Where there is a genuine reason to keep information longer — an ongoing warranty claim or dispute, for example — we may do so. We delete data sooner where there is no longer a reason to hold it.

International transfers

Some of our providers, including Google, Microsoft and HubSpot, may process data outside the UK. Where that happens we rely on the UK’s international data transfer safeguards — such as adequacy regulations or standard contractual clauses — so your information remains protected to a UK standard wherever it is handled.

Keeping your information secure

We use appropriate technical and organisational measures to protect your information, including encrypted connections on this website, access controls on our systems, and working with providers who meet recognised security standards. No system is completely secure, but we review our arrangements regularly and act promptly if something goes wrong.

Children

Our website and services are intended for adults buying products or arranging home improvement work. We do not knowingly collect personal information from children, and if we become aware that we have, we will delete it promptly.

Your rights

Under UK GDPR you have the right to:

  • ask what personal data we hold about you and receive a copy;
  • have inaccurate information corrected;
  • ask us to delete data where there is no longer a good reason to keep it;
  • restrict or object to how we use your data;
  • ask for your data in a portable format, where technically feasible; and
  • withdraw consent for marketing or optional cookies at any time.

To exercise any of these rights, contact us using the details below. We aim to respond within one month. If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Cookies

This website uses cookies and similar technologies to function properly, to understand how it is used, and — where you agree — to measure advertising. Full details of the cookies we use and how to change your preferences are in our Cookie Policy.

Changes to this policy

We review this policy whenever our data practices change, and at least once a year. The date at the top shows when it was last revised. Where a change is significant we will make that clear on the site rather than relying on you noticing a new date.
